Credential Policies

GENERAL POLICY ON CREDENTIALS FOR ATHLETIC EVENTS 

The Vanderbilt University Athletic Department manages access to athletic events through the enforcement of a credential policy, managed by athletics leadership and the facilities and event management unit. The Policy provides guideline for credential requests, distribution, and use for stakeholders from Vanderbilt Athletics, Vanderbilt University, guests of Vanderbilt Athletics and University officials, and various other stakeholders of events hosted by Vanderbilt Athletics. The purpose of this Policy is to hold working staff personnel accountable when wearing a credential. Working staff should only be in areas where their credential permits. 

Vanderbilt Athletics Credential Policies 

A credential to a Vanderbilt athletic event only authorizes the holder to attend that event on the terms and conditions described on the credential. Unauthorized use, sale, or transfer will result in ejection from the facility. 

The privileges granted by credentials are revocable at any time at the request of Vanderbilt Athletics personnel, officers or authorized agents acting on its behalf. User assumes all risk and liabilities. 

Availability and designation of credentials will be determined and distributed annually by Vanderbilt Athletics Department. 

Credentials must always be displayed in a manner that is visible. 

Guest Services and security personnel are responsible for observing credentials and ensuring appropriate access. Disrespect and confrontation towards these staff members will not be tolerated, and doing so may result in revocation of credentials. 

Service animals are allowed in all the identified access areas. 

Obtaining Credentials 

All Sport, Season long, and Single Game credentials will be distributed by Facilities and Game Management Staff. 

Athletic Department Staff 

  • For the purposes of this policy, “staff” is defined as full-time or retired employees of Vanderbilt University Department of Athletics whose status is verified by the Vanderbilt University Office of Human Resource Management. Vanderbilt Athletics Staff may receive all sport, season long and/or single game credentials for athletic events for which they have an approved working function. 
  • When the Athletic Department staff member or coach is no longer employed by Vanderbilt University, credentials must be returned to their direct supervisor. 
  • Select personnel (Senior Athletics Administration) may have an allotment of credentials for distribution at their discretion. Guests are required to adhere to all stated policies. 

University Faculty or Staff 

  • For the purposes of this policy, “faculty and staff” is defined as full-time or retired employees of Vanderbilt University whose status is verified by the Vanderbilt University Office of Human Resource Management. Vanderbilt Faculty/Staff may receive season long and/or single game credentials from Athletics for athletic events for which they have an approved working function. 
  • Select personnel (e.g., Chancellor’s Office, DAR) may have an allotment of credentials for distribution at their discretion. Guests are required to adhere to all stated policies. 

Guests of Vanderbilt University 

  • The Chancellor’s Office, Alumni Association (DAR), & Senior Leadership Administration may be provided with season long and/or single game credentials for distribution to distinguished guests of the University. Guests are required to adhere to all stated policies. 

Contract & Single Game Workers 

  • Contract and single game workers (e.g., maintenance, game operations, third party vendors, etc.) may receive singe game credentials for athletic events. Credential holders must have a working function for areas they enter and abide by Vanderbilt University’s credential policy. 

Corporate Sponsors 

  • The Athletics Department may distribute credentials through corporate sponsors or other promotional opportunities to increase attendance and awareness of individual sports. Credential holders are required to adhere to all stated policies. 

Development and Alumni Relations (DAR) Credentials 

  • Vanderbilt Alumni Association (DAR) personnel may receive all sport, season long and/or single game credentials for athletic events for alumni engagement purposes. Credential holders are required to adhere to all stated policies. 

Vanderbilt University Public Safety Officials 

  • Vanderbilt Public Safety Officials: Fire Department, EMT, Police (state, metro, & local) may receive single game credentials for an approved working function. Credential holders are required to adhere to all stated policies. 

Escort Privileges 

  • Personnel with escort privileges can escort a maximum of four people into approved areas. All individuals are required to display proper access. 

GENERAL POLICY FOR HOME FOOTBALL, BASKETBALL, BASEBALL GAMES, AND TRACK MEETS 

All attendees, except children under 2 years of age, must have a wristband or approved credential to enter the venue.

CREDENTIAL GUIDELINE AND DISTRIBUTION 

  • Vanderbilt Athletics, Facilities & Event Management has the right to issue certain credentials to home athletic games when needed and justified. The policy is designed to accord proper recognition to personnel who have a working function on game days. 
  • Requests for credentials must be submitted to Jordan Meltzer at jordan.a.meltzer@vanderbilt.edu. All requests should be made at least one week prior to the event. 
  • All decisions concerning credentials are subject to approval by the Vice Chancellor and Director of Athletics. All sport, season long or single game credentials as denoted in this policy, will be issued at the discretion of Vanderbilt Athletics leadership and the Facilities and Event Management unit. 
  • Credentials may not be used for advertising, promotions, (including contests and sweepstakes) or other commercial purposes without the express written consent of Vanderbilt University or the SEC. 
  • Credentials may not be posted on any social media platforms without the express written consent of Vanderbilt University or the SEC. 
  • Credential holders assumes all risk of damages or injury from attending the event, whether occurring before, during, or after the actual playing of the event. These risks include, but are not limited to, injuries caused by weather, injuries caused by others in attendance, and death.

A (All Access) – Access to all venue areas B-H (Bench Home) – Access inside the designated home team bench area B-A (Bench Away) – Access inside the designated visitor team bench area C (Concessions) – Access to stadium concourse only M (Media) – Access to stadium areas: press box level 3, pre & post game field level, media work room, and press conferences MED-H (Medical Home) – Medical personnel access inside the designated home team bench area MED-A (Medical Away) – Medical personnel access inside the designated visitor team bench area CB-A (Coaches Booth Away) – Access to the visiting team coaches booth 

AD-A (Athletic Director Away) – Access to the visiting AD booth 

P (Photo) – Access to stadium areas: press box level 3, field level, media work room, and press conferences 

PREM (Premium) – Access to suited and premium areas 

T (Technical) – Access to all stadium areas with a working function 

TV (SEC Productions) – Access to all stadium areas: press box level 3, memorial control room, NEZ 3, and field level 

CSC (Security Staff) – Access to all venue areas 

APEX (Security Staff) – Access to all venue areas 

VUPS (Vanderbilt University Public Safety) – Access to all venue areas 

SINGLE GAME PASSES 

  • Specifically for contract workers, part-time employees (i.e. interns), and single game day operations staff members 
  • Different color per game 
  • Approved by Vanderbilt Athletics Executive Staff Only 
  • DOES NOT allow one’s guests to enter any venue without a proper game ticket

  • COMPETITION AREA ACCESS – TO BETTER MANAGE ACCESS TO COMPETITION AREAS OF EVENTS HOSTED BY VANDERBILT ATHLETICS, THIS ACCESS WILL BE DESGINATED TO STAFF THAT NEED UNRESTRICTED ACCESS AT ALL TIMES. FOR STAFF THAT MAY NEED OCCASIONAL ACCESS TO THE FIELD, A SUPPLEMENTAL WRISTBAND WILL BE DISTRIBUTED. THE PURPOSE OF THIS IS FOR THE SAFETY OF STUDENT-ATHLETES, OFFICIALS, STAFF, AND GUESTS.
